BACKGROUND Every year, Nathan Cook—the founder of The HUB Fitness Center—hosts a 3-day Sales Summit in Las Vegas to bring together leaders from across the franchise network. The goal is to align the company’s national sales strategy, introduce new supplements and equipment, and share best practices across gyms. This year’s event will be held from Wednesday, October 15th to Friday, October 17th. Each of the 15 gyms will send their Sales Manager and two top-performing sales reps to attend. With Nathan’s leadership team, support sta , and guest speakers also attending, total in-person attendance is expected to be around 70 people. The keynote speaker is Jeremy Miner, who will lead a two-hour keynote and workshop on day two. His presentation should be streamed live for remote viewing by sales teams who are not attending in person. As Nathan’s Virtual Assistant, he has asked you to plan the entire event and present your plan in a single, branded PDF presentation. Your deliverables should reflect both the event’s logistics and the communication strategy used to coordinate with franchise teams. The total budget for the event is 300,000 USD.
INSTRUCTIONS 1. Create Your Plan ● Use a platform like Google Slides, PowerPoint, or Canva to create your presentation. Make sure that the presentation follows the company branding guidelines. ● Export it as a single PDF. ● Your plan should include the following sections: ■ Event Overview ■ Travel & Lodging Plan ■ Agenda & Schedule (include keynotes, breakout sessions, and downtime) ■ Budget Breakdown – show how the 300K is allocated across all event categories ■ Meal Planning – address dietary needs and general meal structure ■ Evening Activities – outline ideas for nightly group engagement ■ Remote Access Plan – outline how Jeremy Miner’s keynote will be streamed to non-attendees ■ Franchise Communication – include one email template directed to Sales Managers. They also help new team members get up to speed faster and let business owners focus on what matters most—without needing to be involved in every detail. This exercise will evaluate your ability to document a complex process in a clear, logical, and easy-to-follow format that others can execute reliably. BACKGROUND Let’s imagine it’s one week after the Sales Summit you just finished planning. The event went really well—and even when things didn’t go as expected, the team had a solid plan to address any issues that came up. Because of how smoothly things went, Nathan wants to make sure future events can be planned just as e ectively—even if someone else takes the lead next time. He’s asked you to create a detailed SOP in Notion that outlines exactly how to plan and execute company events in the future, using the Sales Summit as a model. This SOP will serve as a guide to help future team members replicate your process from start to finish. INSTRUCTIONS 1. Research & Preparation ● Review the event plan you created for the Sales Summit to remember what went into it. ● Think through all the components involved in planning a company event—from timelines and logistics to communications and contingency planning. ● Look up examples of strong SOPs and explore best practices for how they’re structured. ● Search online for SOP templates to get inspiration on how to organize and format your document. ● Create a free account on Notion, and if you're unfamiliar with the tool, look up quick tutorials videos on YouTube to learn how to use the features inside of Notion. 2. Build Your SOP ● Create a new Notion page where you’ll document the full process of planning a company event. ● Organize your SOP into what should happen before, during, and after the event. Feel free to add any other sections, recommendations, or ideas that you believe would add value to the SOP. ● Structure the SOP so that anyone reading it could follow the instructions and achieve the same outcome—no guessing, no gaps.
